By the middle of winter, most proactive patients will have received their 2025 flu vaccine. Late July onwards is the optimal time for clinics to start actively recalling NIP-eligible patients who have not yet received their free flu vaccine.
Below are two quick & simple flu vaccine QI activities that your practice can complete.
Why is it “simple”?
This activity involves a new process to update patient vaccination records by clicking one button to download records of vaccines given elsewhere from AIR to clinical software.

Will it help with my PIPQI measures?
This activity will directly improve QIM 4 – Proportion of patients aged 65 and over who were immunised against influenza (in the last 15 months).
What does this QI involve?
Download AIR vaccine records directly to your clinical software – no more manually recording vaccines given elsewhere
To download, right click on vaccine record and save by clicking:
* “Store Locally” for Medical Director
* “Save to patient record” for Best Practice
Most clinical software systems (BP, MD) are now directly linked to the Australian Immunisation Register (AIR) – no more logging into PRODA. You can view and print a statement for the patient’s entire immunisation history directly from your clinical software.

Outcome?
Improve QIM-4: this activity aims to improve the QIM 4 measure for the next PPR Report by updating flu vaccine records in clinical software to reflect AIR record. Next Practice Progress Report is Quarter 3 (period ending 31 July 2025).
Foster teamwork: this activity can be jointly completed as a group activity by all clinical staff which allows individual staff contributions to achieve a common team goal.
Minimal impact to workflow: this activity is quick and can be completed within weeks without impeding usual workflow,
Optimise productivity: activity can be broken down into 5-min tasks which can be completed intermittently – e.g. quiet periods between patient bookings.
Alternate:
Complete the Influenza Data Quality QI to ensure that your practice software’s flu vaccine records are up-to-date with AIR records. This QI makes sure that your practice software accurately captures all patients who have received their 2025 flu vaccine, including those who may have received the vaccination at a different medical centre.
It is crucial to ensure that your flu vaccine data is up-to-date on your practice software prior to undertaking any other QIs, as inaccurate data could lead to the unnecessary recall of patients who have already received their vaccine elsewhere.
The funded SMS flu vaccine recall program has limited spots available – only a few spots remain for CESPHN’s allocated 20 funded practices. To secure a funded program, register your interest promptly by completing application form.

GoShare support extracts a list of NIP eligible patients 65+ who have not had a flu vaccine in 2025
SMS reminder is scheduled to be sent automatically to patients in weekly batches
Patient is notified that they are eligible for a free flu vaccine, and encourages them to book an appointment.
Minimal extra staffing required – process prompts patient to call to make a booking. During busy times, reception assistance may be required to to answer incoming calls.
Minimal workflow disruption – SMS’s are grouped into small bundles and pre-scheduled to be dispatched weekly to minimise workflow disruption / additional reception workload (e.g.: schedule 50-100 SMSs to be sent per week)
